What began in 1912 as a small workshop for surgical mechanics in Marburg, Hesse, has now become one of the leading medical supply companies in Hesse and Germany. Since it was founded over 100 years ago, the company has grown steadily and today has around 350 employees. With more than 25 branches spread across North, Central and East Hesse, numerous product-specific online shops and a large logistics center in Lahntal near Marburg, Kaphingst supplies its customers not only throughout Germany, but also far beyond national borders. Its divisions include rehabilitation technology, orthopedic technology, orthopedic shoe technology and medical technology, the classic medical supply store and numerous health products on sale over the counter. Kaphingst supplies private households as well as clinics, care services and practices.

In 2020, the Kaphingst medical supply store launched the introduction of KUMAVISION med ERP and in July 2021, all branches went live simultaneously as well as the web shop connection. M Assist supported this project in all areas of business, from prescription processing to medical supply stores to finances, controlling, supply chain management and service. Kaphingst was using several ERP or billing systems at the time as a result of various acquisitions. The aim was to merge systems and harmonize processes across all units and business areas. KUMAVISION's industry solution proved to be the only one on the market that met Kaphingst's requirements in terms of size, ability to grow, scalability, controlling options and the mapping of compliance requirements.

ERP implementation: Focus on organizational development instead of pure IT implementation

As part of the project, not only was the ERP system introduced, but the company's own web shop was also connected, an interface to “Sanitätshaus Aktuell” was implemented and professional route planning software was implemented. In addition, a controlling structure based on Microsoft Power BI was created and M Assist dashboards were introduced. The digitization and extensive automation of document storage and the introduction of reusable M Assist software for the automatic processing of other documents should lead to a significant increase in efficiency and billing rate over the next few years. In addition, the extensions and continued use of the supplies could also be automated.

At the same time, procurement and logistics processes across the entire organization were standardized and mapped in the IT system. Each Kaphingst branch and branch now manages a defined minimum inventory of all items, with the warehouses being replenished automatically. As a result, a standardized and optimized product portfolio could be created in the various regions and branches.

“The introduction of a full-fledged inventory management system was a major challenge for everyone. The implementation was a very tough process, but thanks to the partnership and holistic advice with M Assist, it was successful in the end. We are now seeing the positive effects in small steps and are much better positioned for future growth. Together with M Assist, we are now working on detailed improvements to further digitize our processes. In addition, additional marketing components are being developed in KUMA to strengthen our customer focus,” says Boris Pichler, managing partner of Kaphingst.

After the introduction to continuous optimization of organization and IT

After a successful introduction, Kaphingst took over the Ruppert Vital-Zentrum and its branches. As part of this takeover, the new member was integrated into the existing Business Central solution. The entire project team was able to draw on previous experience and ensure a smooth transition from Ruppert.

At the same time, a development partnership was concluded between M Assist and Kaphingst to develop a practice-oriented module through SCRUM for processing manufacturing in orthopedic technology and orthopedic shoe technology. Kaphingst contributed expertise and practical know-how, while M Assist provided both technical understanding and additional expertise. In parallel, M Assist supported the transition from decentralized regional billing to a central billing office at the headquarters in Lahntal. The future process was defined and implemented together step by step.

Kaphingst is already planning and implementing numerous other projects. These include groundbreaking measures such as the digitization of driving and field services and the integration of WhatsApp for effective customer communication. In strategic matters, including the implementation of the eRecipe, the TI and the introduction of the ImageLink process for electronic billing, Kaphingst trusts the expertise of M Assist. Boris Pichler emphasizes:
